Memberships, payments, batches and invoices ran on paper. We replaced it with one system for members, admins and front-desk staff.

The brief
The centre runs badminton, table tennis, billiards, pool and tennis for its members. Membership is open only to eligible employees and retirees, so every application starts with an ID check.
Applications, eligibility checks, payments by cash, cheque or UPI, receipts and batch lists were all handled by hand. It was slow for members and staff, and every hand-off was a chance for an error.
01 Research
We followed one application from start to finish: the form, the eligibility check, the payment, the receipt and the batch allocation. Each step showed us what the system had to do and who would be doing it.
02 Strategy
We split the work into members, venues, batches, invoices and user management. Admins, sub-admins and operators each get the access their job needs and nothing more.
03 Design
Plain screens built for a busy front desk: clear lists, one task per screen and a confirmation before anything changes. Members get the same simple pattern on their side.
04 Activate
Members register, get a unique ID, apply for a yearly membership and pick their activities. Once they pay, an invoice is created on its own with the payment mode and transaction number. Admins then place paid members into the batches they have set up.
The key decision
Working out who can see and change what, before any screen was designed, kept each person's view short and simple, and kept member and payment records in the right hands.
